This is the privacy notice of Stroud Valleys Project. In this document, “we”, “our”, or “us” refer to Stroud Valleys Project.

This privacy policy applies to information we (Stroud Valleys Project) collect about individuals who interact with our organisation. It explains what personal information we collect and how we use it.

Who we are and what we do 

Stroud Valleys Project supports local communities to tackle environmental issues with a genuinely grass roots, hands-on approach which is wholly inclusive. We aim to help improve the wellbeing of people in Gloucestershire by helping them make the places in which they live healthier, more attractive to wildlife, more productive and more beautiful and relaxing to enjoy. We help enrich lives and transform places for both today’s and future generations.

Our charity was set up by the community in 1988 because local people wanted an organisation that could support them in their effort to do something positive and proactive for the environment. In order to do this we have Friends of Stroud Valleys Project (people who subscribe and donate to our charity), we have contacts who receive emails about our work and we have volunteers who help us in our work, and whom we help whenever we can.

We are committed to making sure that our communications with you are secure, thoughtful and welcome. We promise to respect the data you share with us and keep it safe. All personal data is held and processed in accordance with the Data Protection Act (2018) and the General Data Protection Regulations, as amended. This privacy policy is in addition to Stroud Valleys Project’s Data Protection Policy. This policy describes how Stroud Valleys Project collects, manages and uses your information.

How we use your data

We will only use your data in a manner that is appropriate considering the basis on which that data was collected, as set out in the ‘Personal Data that we process’ section of this policy.

For example, we may use your personal information to:

  • Reply to enquiries you send to us.

  • Handle donations or other transactions that you initiate.

  • Where you have specifically agreed to this, contact you by email, telephone or letter, with information relating to our work which we think may be of interest to you.

  • Contact you regarding events that you have booked, volunteering opportunities that you have expressed an interest in, or volunteer working parties of which you are a member. Where you have booked an event, we will only use your information to administer the event, unless you explicitly give us permission to add you to our contacts list.

  • We additionally may aggregate your data for the purposes of analysis and monitoring.  In the case of this, you, as an individual, will not be personally identifiable.

When we share your data

We will only pass your data to third parties in the following circumstances:

  • You have provided your explicit consent for us to pass data to a named third party.

  • We are required by law to share your data.

  • We are required under our obligations to adult and child safeguarding to discuss information with an authorised third party.

We will never pass your data to third parties outside of the United Kingdom.

How long we keep your data

We take the principles of data minimisation and removal seriously, and have internal policies in place to ensure that we only ever ask for the minimum amount of data for the associated purpose and delete that data promptly once it is no longer required.

Rights you have over your data

  • You have the right to ask for rectification and/or deletion of your information.

  • You have the right of access to your information.

Legitimate interests – this information is necessary for us to administer your booking and ensure that you are kept informed about the event for which you have booked. We will not use this information for any other purpose without your explicit consent.
Signing up as a Friend. Name, address, telephone number, email address. Records of communication and communication preferences. Payment information, subscription or donation history, gift aid status. Contract - by paying your Friend fees you have entered into a contractual relationship with us as set out on our Friends membership form.
Enrolling as a volunteer. Name, contact telephone number, address, email address, emergency contact information, relevant medical conditions, doctor's surgery details, records of volunteering, records of unspent convictions. Additional information as requested by a funding provider (to be agreed ad hoc). Legitimate interests – this information is necessary for us to administer our volunteering groups safely and effectively and keep our volunteers informed about changes to working parties, etc.
